About the Role

We are currently seeking a Part-time Office Administrator (26 per week) to serve with the staff and Elders in overseeing and coordinating the general ministry needs of the church. The Office Administrator takes on the responsibility of coordinating and communicating between the staff, leaders, and church at large.

Responsibilities

Responsibilities include but may not be limited to the following:

Communication
-Create, organize, plan, and implement effective communication messages and strategies for internal and external audiences
-Reinforce and oversee communication standards and processes to staff members and volunteers
-Manage website information and function/design, maintaining clear and relevant communication and direction
-Organize and oversee promotional mailing ventures

Office
-Facilitate phone calls, emails, mail, receive visitors, and answer needed questions
-Assist the Senior Pastor with administrative support for membership, baptisms, visitor follow-up, etc.
-Assist in organizing and facilitating volunteers for coverage of the reception area at times when planned absences are scheduled
-Develop and manage the office budget
-Maintain adequate level of office supplies and needs
-Manage facility requests and provide office assistance for funerals, weddings, etc.
-Initiate and manage office contracts
-Assist staff with event management

While performing the duties of the job, the employee will frequently be required to manage tight deadlines, concentrate over extended periods of time, sit, speak, and use hands and operate equipment, to talk and listen while interfacing with staff, and members of the congregation. Further, the person must possess the ability to perform the above in-person or through email or phone conversations, and be able to read documents. The employee may be required to stand, move about, stoop, walk for extended periods of time, push/pull, reach, and carry a maximum of 30 lbs. The employee may also experience interruptions to work flow and need to close the work office.

Requirements

Knowledge/Skills/Abilities needed:

  • Growing relationship with Jesus Christ, evidenced by action, attitude, and behavior

  • Fully embracing the vision, values, and North Haven’s statement of faith

  • Skills in planning and coordinating within a ministry setting

  • Able to work within a complex organizational structure involving paid staff, volunteers, Board of Elders, and ministry teams acting as the communication liaison.

  • Excellent written/oral communication skills

  • Able to work independently and as a team member, and deal with people in a professional and kind manner

  • Ability to take on other duties as needed within the realm of the position.

  • An understanding of marketing and mass communication utilizing current media

  • Proficient in preferred office computer programs, including basic graphic design abilities

  • Experience in preferred website content management systems (Wix)

  • Experience in social media platforms and how to best communicate through them

  • Willingness to learn new communication technology and skills to maintain efficiency and relevance

  • Make decisions in a deadline driven environment

  • Abilities in project management and initial contract research

  • Highly organized and efficient

  • Ability to handle public relations endeavors


Preferred Qualifications

Education

  • High School diploma or equivalent

Experience

  • Knowledge and demonstrated proficiency using a variety of computer programs, including (but not limited to) Microsoft Word, Excel, Wix, Facebook, Instagram, Canva, Planning Center, etc.

Other

  • Due to the nature of this specific role within the church, it is highly preferred that the successful candidate become a regular attender or member of North Haven Church
